Cancellation and Rescheduling Policy

To ensure fairness for all students and to protect each student’s reserved lesson time, The Spanish Academy operates a Cancellation and Rescheduling Policy.

Attendance


Every Academy Member is allocated a regular weekly lesson time, reserved exclusively for them throughout each four-week teaching cycle.

Lessons take place at the agreed time each teaching week according to the Academy’s annual academic calendar.

Rearranging Lessons


We understand that plans sometimes change. Students who give at least 24 hours’ written notice may rearrange their lesson to another available lesson time, subject to availability.

Rearranged lessons are booked on a first come, first served basis through our online booking system.

Lessons cancelled with less than 24 hours’ notice, and lessons not attended, cannot be rearranged and remain chargeable.

Holidays and Absences


If you know you will be away, please let us know as early as possible. Provided that we receive at least 24 hours’ written notice, you will be able to rearrange your lesson to another available lesson time, subject to availability.

Academy Holidays


The Spanish Academy follows an annual academic calendar. Our regular teaching breaks are five weeks in August, two weeks at Christmas and two weeks at Easter.

Lessons do not take place during these scheduled Academy holidays, and students are not charged for these weeks. Holiday dates are published in advance each academic year.

Notice Periods


During the three-week introductory period, there is no long-term commitment. Students may stop lessons at any time by giving at least 48 hours’ written notice before their next scheduled lesson, and will simply be invoiced for the lessons that have taken place or were booked in accordance with this policy.

Once Academy Membership has begun, we ask members to provide eight weeks’ written notice should they wish to leave the Academy.

Billing


Academy Membership is billed in four-week teaching cycles rather than by calendar month, and is payable in advance by bank transfer at the beginning of each cycle.

At the end of each academic term, if fewer than four teaching weeks remain in the Academy calendar, families are invoiced only for the remaining teaching weeks.
